How to Order Textile Machine Spare Parts: An Enquiry Checklist

A clear spare-parts request helps the purchasing team and manufacturer discuss the same component. Use this checklist when preparing an enquiry for a textile machine part, whether you are matching a catalogue item or asking about a reference sample.

1. Record the machine and product references

Write down the machine manufacturer, model and the part’s position in the machine. Add the product code from your catalogue, purchasing records or previous packaging. If you are unsure whether a number is a machine reference or a supplier’s own code, include its source in your message.

For a repeat order, attach the previous product reference and specify whether anything has changed. A different machine revision, mounting arrangement or requirement should be discussed rather than silently assumed to match the previous order.

2. Make the photographs useful

Use a plain background and enough light to show the edges of the part. Photograph the complete component from more than one side, then add close-ups of markings and connection details. Keep the original full image as well as the detail shots so that the supplier can relate each feature to the whole part.

List relevant measurements with units and identify where each measurement was taken. Where possible, refer to a drawing or a marked image. If a surface is worn or broken, identify it clearly; a measurement taken from a damaged feature may not describe the intended component.

3. Specify the quantity and the scope

  • State the quantity for each separate product code.
  • Say whether the request is for a sample, an initial order or a repeat order.
  • Distinguish an individual component from a complete assembly.
  • Include any drawing revision or agreed material reference.
  • Explain which compatibility questions still need an answer.

If you need several products, use one line per code. This makes it easier to compare the quotation against your enquiry without confusing similar-looking components.

4. Confirm the quotation before ordering

Check that the quotation refers to the correct code, quantity and application. Agree the delivery destination, packaging expectations and the date being discussed. Ask for clarification where the offer differs from the enquiry, including any proposed alternative part.

İva Öz Plastik’s product pages let you open a product enquiry with its code already included. You can also download the catalogue from the catalogue section and send your machine details through our contact page. Keep the confirmed reference with your purchasing records for the next enquiry.
